When you contact us through the quotation form on our website or by e-mail, the following personal data is processed.

Data processed

Name and surname, company or plant name, e-mail address, phone number, subject of the request and the information you share in your message; the date the form was sent and the IP address.

Purpose

To evaluate and answer your request; to prepare a quotation, work plan and schedule; to prevent misuse of the form and ensure information security.

Legal ground

Processing is directly related to the conclusion or performance of a contract (KVKK Art. 5/2-c). For the IP address and security records, our legitimate interest, provided that it does not harm your fundamental rights and freedoms (KVKK Art. 5/2-f).

How we collect it

Electronically, through the quotation form on our website and by e-mail.

Retention

Requests that do not lead to a job are kept for 1 year, and those that do are kept for 2 years; they are then deleted or anonymised. Commercial documents such as contracts and invoices are kept for the periods set by the Turkish Commercial Code and tax legislation.

CVs and applications you send through our careers section or directly by e-mail are also considered when there is no open position.

Data processed

Identity, contact, education, work experience, certificate, skills and reference details contained in your CV and application e-mail.

Purpose

To evaluate your application, contact you about suitable positions, and run the interview and recruitment process.

Legal ground

Processing is directly related to the conclusion of an employment contract (KVKK Art. 5/2-c).

How we collect it

Electronically, by e-mail.

Retention

Applications are kept for 1 year and then deleted. If you ask us to delete your application earlier, it will be deleted.

Please do not include special categories of personal data in your CV, such as health information, religion or belief, association or union membership, criminal convictions or blood type. Such information is not used in evaluating your application.

Your personal data is transferred only for the purposes above and only to the extent necessary, to the following recipients:

• the Türkiye-based provider that hosts our website;
• Microsoft Corporation (Outlook), which provides our corporate e-mail service. As e-mail correspondence is stored on servers of this service that may be located abroad, this transfer is carried out in line with the procedure set out in Article 9 of the KVKK;
• authorised public institutions, when requested, to fulfil our legal obligations (KVKK Art. 5/2-ç).

Our website does not use cookies, advertising or visitor tracking tools.

To keep the site secure, the hosting server keeps standard access logs consisting of the IP address, date and time, the page viewed and browser information. These logs are processed to ensure information security and to meet legal obligations (KVKK Art. 5/2-ç and 5/2-f) and are deleted at the end of the period set by the relevant legislation.

The map on our contact page is loaded from Google Maps only when you press the “Show map” button. Google may then process data under its own privacy policy.

Under Article 11 of the KVKK, you have the right to apply to us and:

• learn whether your personal data is processed,
• request information if it has been processed,
• learn the purpose of processing and whether it is used in line with that purpose,
• know the third parties in Türkiye or abroad to whom it is transferred,
• request correction if it is incomplete or inaccurate,
• request deletion or destruction under the conditions in Article 7 of the KVKK,
• request that correction, deletion and destruction be notified to third parties to whom the data was transferred,
• object to a result against you arising from analysis exclusively by automated systems,
• claim compensation for damage arising from unlawful processing.

How to apply

You can send your requests, in line with the Communiqué on the Procedures and Principles of Application to the Data Controller, in writing to the address above, via registered electronic mail (KEP), secure electronic signature or mobile signature, or from an e-mail address you have previously given us and that is in our records, to ikon@ikonproses.com. Your application should include your name and surname, your Turkish ID number if you are a Turkish citizen (or your nationality and passport number if you are not), your address for notification, your e-mail and phone number if any, and the subject of your request. Applications are concluded within thirty days at the latest, depending on their nature, and free of charge as a rule.
